Users

 

IT User: The IT User Can view and edit their own time entries.  This user is restricted.  Once the timesheet has been submitted to the next level of authority (in this case IT Manager) the times can no longer be edited by the IT User.

 

Finance User: The same situation exists for the finance user and when the time is submitted, the next level of authority notified is the Finance Manager.

 

 

In this scenario a user can add, edit, delete and submit time.  Once the time entry has been submitted, the status changes to “Awaiting Manager Approval”.  When the time has been submitted and it is in this status the user can no long modify that time entry.

 

Authoriser/Managers

 

First level of authorisation:

 

IT Manager

The business has decided the IT Manager does not need to be accountable for his/her time so in this example the IT Manager does not have the access/ability to enter his/her own time (this displays the user’s can be allocated any of the available system roles).   The IT Managers function in this scenario is to approve times of the IT User.

 

Once the IT User has submitted their time for approval the IT manager can delete, submit or reject the time of the IT user.   Rejecting the time transfers the time entry back to the IT User for modification.  Submitting, transfers the time entry to the next level of authorisation.

 

When the entry is rejected the status will change to read "New".  IT Manager will no longer have access to that time entry.  It will appear back in the IT users “Time Entries” list ready for re-editing and re-submitting.

 

 

Finance Manager

The Finance Manager has a similar role to the IT Manager but this manager can also enter their own timesheets for approval.  Likewise Submitting transfers the time entry to the next level of authorisationa and Rejecting sends it back to Finance user.

 

The managers can run reports on the hours and/or tasks of the users in their own department.

 

Second level of authorisation:

 

Administrator

In this scenario the Administrator has full access to; approve, reject, modify entries, run any report (see below).  The administrator can modified times then approve them without being transfered back to the previous level of authority.  If the administrator would like modifications or clarification, it to can be "Rejected" and passed back to the previous level of authority and the cycle repeated. 

 

Once the Administrator approves the times, the times can be used by the business to invoice clients, bill internal department or run any number of details reports for business improvement.

About Groups

IT User is a memeber of the IT Department Group.  Finance User is a memeber of the Finance Department Group. 

About Status'

For this example 3 levels of approval status has been created; New, Awaiting Manager Approval and Finalised.  Your system administrator can create any number of status' depending on the number of authority levels and your companies requirements.

Recruit Plus has a number of clients they provide contractors to for various roles throughout Australia . Bob Smith and Jane Warren contract through RecruitPlus and work on the end client sites Xyz Financial Services and Boom Mining Services (respectively).

 

Previously, RecruitPlus used manual timesheet submission for each contractor, i.e.  the contractor would write their times into RecruitPlus timesheet have it signed by their manager and then fax it off to RecruitPlus.  RecruitPlus knew it had problems on their hands with so many manual timesheets, errors, repetitive entry and a team of (bored) staff dedicated to chasing and entering timesheets.  So Recruit Plus turned to Time&Money to satisfy not only their back office need but also the requirements of their clients.

 

The two companies have two different ways of processing timesheets; Xyz Financial Services uses a complete electronic timesheet system where as Boom Mining uses part electronic/part manual timesheet submittal as part of Boom Mining’s business processes they required physically signed timesheets.

 

 

Xyz Financial Services

RecruitPlus approached Xyz Financial Services to use their new time capture and approval system and Xyz welcomed Time&Money.

 

Xyz have managers out on the road, working from home and/or often interstate at other Xyz offices.  So not being tired down to physically signing the contractor timesheets every Friday was appealing (particularly for Andrew Lewis).

 

Andrew has to approve times for 25 contractors every Friday afternoon, often in the Canberra office on Friday’s Andrew’s dilemma of signing timesheets was solved by Time&Money’s application (electronic web approval).

 

Bob Smith and all of RecruitPlus’ contractors at Xyz enter their times into Time&Money’s Web application and submit their timesheet.  Andrew at XYZ views the timesheets by logging onto Time&Money (he has reject or approve privileges).  

 

When Andrew is not in the Sydney office he logs in from either their Canberra office or at the airport to approve the times (by using his laptop + wireless card).  Once Andrew approves the times Denise at RecruitPlus can log in and process/approved the times, run reports and forward to the finance department for invoicing etc.

 

Boom Mining Services

RecruitPlus asked Boom Mining if they would like to move to Time&Money’s web approval process but they decided to continue with their manual timesheet approval system.  

 

In this scenario Jane Warren and all of RecruitPlus’ contractors at Boom Mining enter their timesheet into Time&Money’s Web application and Boom Mining continues as if no changes have been made, i.e.

  • Jane prints out the timesheet (on the Boom Mining template in Time&Money)
  • Jane’s manager signs her timesheet
  • The timesheet is faxed to RecruitPlus

 

There is an additional step RecruitPlus undertakes as opposed to Xyz Financial servies above.  That is, when RecruitPlus’ administrator receives the faxed/signed timesheet from Boom Mining she verifies and approves the total hours that have been submitted on Time&Money with the physical timesheet received.

 

The major difference and time saver for RecruitPlus by automating this process is their payroll and administration staff no longer enters times faxed in by hundreds of contractors thus decreasing processing time and increasing data accuracy.
